Setting Up Your Proposal Drafter Lindy

To begin, we'll configure the Context for your Lindy. This crucial step sets the stage for how your AI assistant will understand and execute its role.

Click on the "Settings" tab beside the Flow Editor and Tasks tab, then locate the "Context" field.

You'll see a default context message that looks like this:

You are a proposal drafter. The user will send you information needed to draft a new proposal. You will refer to the template from the Get_Document action and curate a new proposal given the new information.

Understanding The Triggers

Go back to the Flow Editor to further customize the workflow.

Your Proposal Drafter Lindy is set up with two triggers, giving you flexibility in how you input information:

User Message Received: This trigger allows you to directly send proposal details to Lindy from the task view. You can provide variables and information that Lindy will use to populate your template and create a draft.
Agent Message Received: This feature allows any of your other Lindys to send information to your Proposal Drafter. For example, you could have a Meeting Note Taker Lindy that listens to your client calls, takes notes, and then automatically sends the relevant proposal information to your Proposal Drafter Lindy. Ensuring Adequate Information

Your Lindy is designed to create high-quality proposals, which means it needs complete information. Here's how it handles this:

After receiving information, Lindy uses a Condition step to check if enough details were provided.

The condition prompts are:

the user sent you enough information for a new proposal draft.

And:

the user did not send you enough information for a proposal to be drafted.

If inadequate information is provided, Lindy will ask for more details.

Click the Send Message action beside the Condition step. The prompt for requesting more information is:

Request for more information until you have the necessary information for a complete proposal.

This ensures that Lindy only proceeds with drafting when it has all the necessary details to create a comprehensive proposal.

Setting Up Your Proposal Template

Create a new Google Doc for your proposal template.

Insert your proposal template into this document. Use {brackets} to signify variables that Lindy will fill in later. Ensure the proposal is in HTML format for proper rendering. If you have a proposal in plain text format, use this Lindy to instantly convert it to HTML and paste it on the Doc.

Copy the URL of your Google Doc.

In the Lindy Flow Editor click the Get Document (Reconcile Template) action. Paste your Google Doc URL into the "ID, Doc Name, or Link" field.

Configuring The Create Document Action

After Lindy retrieves your template, it needs to know how to use it. We’ll set this up in the Google Docs Create Document action.

Click the Create Document (Draft Proposal) action:

Choose which folder you want the finished proposals saved in. In the “Title” field, add a prompt like:

{Company Name} | Proposal

This ensures each proposal is easily identifiable. In the “Content” field, insert this prompt:

Using the Proposal Template from the Get_Document action, create a new Proposal using the content that the user sent you. You MUST add excessive line breaks between each section on the Proposal. Use markdown. # Heading ## Heading level 2 ### Heading level 3 Use line breaks:

This is the first line.
And this is the second line.

(More is better)

This prompt tells Lindy to use your proposal template provided in the previous step to create a new document, ensuring Lindy formats the proposal correctly. Make sure to add additional instructions to this prompt to match your proposal creation preferences.

Receiving The First Draft

The next step in your workflow is the Send Message action.

In the Send Message action, there is this prompt:

Send the user the [gdoc from prior step].

This prompt instructs Lindy to send you a link to the new proposal in the task view by using output referencing. Output referencing allows you to refer to past trigger and action output values as a variable in your prompt or manual field configuration.

Refining Your Proposal

After creating the initial draft, your Proposal Drafter Lindy is able to refine and improve the document based on your feedback.

This is handled by an AI Agent step.

The AI Agent uses this prompt:

Edit and revise the proposal based on the user's feedback. Use the exact document you created in the step prior.

The AI agent is configured with two skills:

Get Document: This allows Lindy to retrieve the most recent version of your proposal.

Update Document: This enables Lindy to make changes directly to the existing document based on your feedback.

When you provide feedback or request changes in the Lindy task view, Lindy will access the newly created document, make the necessary updates, and send the revised version back to you. This process can be repeated as many times as needed, allowing for multiple rounds of refinement.

Putting Your Proposal Drafter to Work

Your Proposal Drafter Lindy is now ready to streamline your proposal creation process.

To test it out, go to the Lindy’s Task View and send it information (can be dummy info) for a proposal draft.
